Best IT Outsourcing Companies for Small and Mid-Size Businesses (2026)

IT outsourcing means paying an outside firm to run your help desk, devices, networks and security instead of building that team yourself. These four providers cover different buyers: one sells help desk work by the ticket or by a slice of a person, two run full managed IT for US firms, and one supports UK and European businesses. Most of them keep prices and contract terms close, so we filed what they do publish and flagged what they don't, checked in November 2026.

Dataprise is a Maryland-based managed IT provider with 30+ years in business and 2,500+ clients, and it publishes starting per-user prices for three bundled plans. It's written for mid-market buyers, so a very small firm should ask early what its own price per user would be.

VA MASTERSParent company

6.4/10

Filed under Managed remote staffing · HQ: Global company · Staff in: Philippines (assistants and specialists); Ukraine (developers)

A managed remote-staffing agency that places dedicated assistants, specialists and developers, with published rates, a 30-day trial and free replacements. VA MASTERS is the parent company of this site's publisher and is scored with the same rubric as everyone else.

Price
$8.50–$16/hr
Smallest start
One person; 80 hours/month recommended, fewer hours possible
Trial
30-day trial: end anytime, no notice
Replacement
Free; new candidates usually in about 2 business days
Notice
None during the trial; notice period after
Fees
No recruitment or setup fees; a refundable deposit is part of the first invoice
Founded
2021
Reviews
Average 5/5 on Trustpilot, Indeed and Glassdoor

What we like

  • Published rate card by role category, plus a plain-English terms summary
  • Start with one person, part-time if needed; no seat minimum
  • 30-day trial with no notice period, then free replacement if the fit isn't right
  • 6-stage screening; about 1 in 508 applicants accepted (Jan 2025–Jul 2026)

What to watch

  • Not a managed IT provider: you get one dedicated person to direct (ticket triage, Level 1 and some Level 2 support), not a service desk, 24/7 monitoring or service levels run by the provider. That suits a company that already has someone in charge of IT
  • Costs more than hiring a freelancer yourself through a job board, because screening, replacement and support are included
  • Asks for your input early on (role brief, interviews) to get the match right
  • After the 30-day trial a notice period applies, and the first invoice includes a refundable deposit
  • Founded in 2021, younger than most companies in these rankings
  • Places dedicated individuals, not large seat-based teams with a floor supervisor

What businesses outsource here

  • Help desk for staff: password resets, device problems, software issues
  • Managing laptops, phones and software licenses, including new starters and leavers
  • Network, server and cloud administration
  • Security monitoring, patching and backups
  • Co-managed support alongside an internal IT person
  • After-hours or overflow cover for an existing IT team

Before you sign: what to check

  1. What the per-user or per-ticket price leaves out: projects, on-site visits, security tools and after-hours work are often billed separately
  2. The service levels in writing: first response, resolution time, hours of cover, and what happens when they're missed
  3. The smallest account they'll really take: a starting price per user can assume a much larger company than yours
  4. Contract length, automatic renewal and notice, plus who hands over passwords, documentation and admin rights when you leave
  5. Who works on your account, in which country, and who your named contact is

FAQ

How much does IT outsourcing cost?

It depends on how it's sold. Dataprise publishes starting prices of $102, $158 and $210 per user per month for its three plans, though a plan sheet bases its starting price on 300 users. ScienceSoft publishes sample help desk prices of about $3,200 a month for up to 200 L1 tickets, labeled as estimates. Integris and Texaport quote on request; three Clutch reviewers of Texaport report paying £1,200 to £1,800 a month.

What's the difference between IT outsourcing and hiring a dedicated development team?

IT outsourcing keeps your company's technology running: help desk, devices, networks, security. A dedicated development team builds software that you direct. If you need both, they're usually separate contracts, and we keep them in separate drawers.

What does co-managed IT mean?

You keep your internal IT person or team, and the provider adds what they can't cover: after-hours support, overflow tickets, monitoring or specialist escalation. Integris and Dataprise both sell a co-managed option. It suits a company with one or two IT staff who are stretched.

Can a UK company use an IT provider based outside the UK?

Yes, as long as the hours of cover and the handling of your data suit you. Texaport is based in Edinburgh, and ScienceSoft says it covers time zones from North America to New Zealand. Integris and Dataprise describe themselves in US terms, so ask them directly before assuming they serve UK firms. Ask any provider where your data and its engineers sit, and get the answer in the contract.

Scores blend our six-criteria rubric (70%) with fit for this page (30%). Prices and terms are as published by each company and checked in November 2026. Spotted an error? Tell us.
